NutritionFacts.org is seeking a highly organized Executive Assistant to support our executive team of three, primarily Dr. Greger who is a high-demand public speaker with a dynamic schedule. This role provides comprehensive administrative and operational support to senior leadership with a focus on calendar management, travel coordination, and communication while contributing to internal tasks critical to our program outreach. The ideal candidate is passionate about NutritionFacts’ mission, has strong organizational skills, thrives in a fast-paced environment, anticipates needs before they arise, and brings both discretion and precision to their work.

Key Responsibilities:

Outreach & Engagement Management

  • Manage a high-volume, ever-changing calendar, including speaking engagements, internal meetings, donor calls, and travel
  • Prioritize scheduling requests and resolve conflicts with sound judgment and clear communication
  • Coordinate all logistics for speaking engagements (virtual and in-person), including speaker agreements, book sales and signings, continuing medical education inquiries, audio/visual requirements, and other paperwork
  • Ensure NutritionFacts’ websites are updated with new speaking events as confirmed
  • Coordinate and schedule media and interview requests
  • Coordinate travel reimbursements and honorarium donation invoicing related to speaking events, including working with Executive Vice President, Operations to track outstanding requests and payments

Administrative & Operational Support

  • Assist with webinar presentation and engagement
  • Coordinate and send monthly thank you and birthday cards to donors from the President
  • Coordinate and send staff birthday and work anniversary recognitions
  • Support special projects and organizational initiatives as needed

Qualifications:

  • 3-6+ years of experience supporting a senior executive, preferably in a nonprofit or media environment
  • Excellent written and spoken communication skills
  • Exceptional calendar management skills, particularly for a public-facing speaker
  • High level of discretion and professionalism
  • Proven ability to manage multiple priorities and adapt to changes
  • Detail-oriented with strong personal organizational systems
  • Proficiency with Google Workspace, Microsoft Office, Asana, and scheduling platforms
  • Ability to work effectively in a fully remote environment
