Executive Assistant

NutritionFacts.org, a 501(c)3 nonprofit organization founded by Michael Greger, M.D., FACLM, is committed to sharing the latest in evidence-based lifestyle medicine research to help you and those you love live longer, healthier lives. NutritionFacts.org is seeking a highly organized Executive Assistant to support our executive team of three, primarily Dr. Greger who is a high-demand public speaker with a dynamic schedule. This role provides comprehensive administrative and operational support to senior leadership with a focus on calendar management, travel coordination, and communication while contributing to internal tasks critical to our program outreach. The ideal candidate is passionate about NutritionFacts’ mission, has strong organizational skills, thrives in a fast-paced environment, anticipates needs before they arise, and brings both discretion and precision to their work.

Key Responsibilities:

Outreach & Engagement Management

  • Manage a high-volume, ever-changing calendar, including speaking engagements, internal meetings, donor calls, and travel
  • Prioritize scheduling requests and resolve conflicts with sound judgment and clear communication
  • Coordinate all logistics for speaking engagements (virtual and in-person), including speaker agreements, book sales and signings, continuing medical education inquiries, audio/visual requirements, and
    other paperwork
  • Ensure NutritionFacts’ websites are updated with new speaking events as confirmed
  • Coordinate and schedule media and interview requests
  • Coordinate travel reimbursements and honorarium donation invoicing related to speaking events, including working with Executive Vice President, Operations to track outstanding requests and payments

Administrative & Operational Support

  • Assist with webinar presentation and engagement
  • Coordinate and send monthly thank you and birthday cards to donors from the President
  • Coordinate and send staff birthday and work anniversary recognitions
  • Support special projects and organizational initiatives as needed

Qualifications:

  • 3-6+ years of experience supporting a senior executive, preferably in a nonprofit or media environment
  • Excellent written and spoken communication skills
  • Exceptional calendar management skills, particularly for a public-facing speaker
  • High level of discretion and professionalism
  • Proven ability to manage multiple priorities and adapt to changes
  • Detail-oriented with strong personal organizational systems
  • Proficiency with Google Workspace, Microsoft Office, Asana, and scheduling platforms
  • Ability to work effectively in a fully remote environment

Part-Time Nutrition Research Writer

The Nutrition Research Writer reviews the peer-reviewed literature on nutrition topics for the purposes of writing scripts for short videos on NutritionFacts.org. Primary responsibilities include conducting comprehensive literature reviews on a given topic and creating engaging video scripts using an established protocol to be edited and narrated by Dr. Greger and turned into new videos posted on NutritionFacts.org.

The Nutrition Research Writer has an established background of searching, reading, and analyzing research literature and is detail-oriented, creative, articulate, familiar with the content on NutritionFacts.org, and passionate about our mission.

Responsibilities:

  • Find, review, and analyze the peer-reviewed medical and nutrition literature on a variety of pre-selected topics.
  • Create a synthesis of the science on a specific topic and write a fully cited and annotated script to instruct motion graphic designers on how to create videos using an established protocol.

Skills & Qualifications:

  • Experience reading and analyzing the peer-reviewed medical literature
  • Experience writing, preferably in a medical/nutrition field
  • Familiarity with NutritionFacts.org content
  • Experience working independently in a remote setting
  • Ability to communicate ideas effectively with a remote team
  • Ability to manage time effectively and meet established deadlines
  • Professional medical and/or nutrition background

This is a part-time, contract position. The role is fully remote and international candidates are encouraged to apply.

Part-Time Research Assistant

NutritionFacts.org is seeking a detail-oriented, part-time Research Assistant to support our research team in converting writing from Dr. Greger’s books into video content. The Research Assistant will be a contract position focused on one main project: converting pre-existing book content into video scripts.

Key Responsibility:

  • Convert book sections into video scripts formatted using NutritionFacts.org annotation style

Required Skills & Qualifications:

  • Strong attention to detail and commitment to quality
  • Ability to work independently
  • Strong written communication skills
  • Ability to learn and adhere to NutritionFacts.org’s video annotation style

Preferred Qualifications:

  • Background or demonstrated experience in biomedical, health, or science-related topics
  • Experience with editing in a professional or academic setting
  • Experience reading and synthesizing scientific papers is helpful but not required
  • Experience interpreting scientific figures and tables is helpful but not required

This is a part-time, contract position. The role is fully remote and international candidates are encouraged to apply.

Part-Time Research Administrative Assistant

We are looking for a Research Admin to help compile and organize research data as part of Dr. Michael Greger’s video scripting process. This is a part-time, as-needed contract position.

Responsibilities:

Copy, paste, format, organize, edit, and cite annotations from marked-up PDFs into a Word document template according to specific instructions.

Skills & Qualifications:

  • Attention to detail: Thoroughness in compiling accurate information.
  • Self-motivated and deadline-driven: Ability to work independently and meet deadlines in a remote environment.
  • Flexibility: Ability to work with tight deadlines and possible weekend work.
  • Familiarity with and access to Microsoft Word.
